Customers currently pay AmiraClean primarily by bank transfer to our business bank account.

We do not need to collect or publish customers’ complete online banking credentials.

  • WhatsApp;

  • social media; and
  • other approved business communication channels.

Telephone recordings

Calls to and from AmiraClean may be recorded.

Where calls are recorded, we may process:

  • call duration; and
  • the audio content of the call.

We may use recordings for appropriate purposes including quality assurance, training, maintaining accurate records of customer instructions, resolving complaints or disputes, and protecting our business and customers.

Where appropriate, callers will be informed that calls may be recorded.

Job photographs

Our cleaners or other authorised personnel may take photographs where reasonably necessary to:

  • document the condition of an area before work;
  • demonstrate completed work;
  • record damage or pre-existing conditions;
  • identify cleaning issues;
  • support quality assurance; or
  • investigate a complaint or incident.

Staff are expected to focus photographs on the relevant work or issue and avoid unnecessarily capturing people, personal documents or unrelated private possessions.

Operational photographs will not automatically be used for advertising or social-media purposes.

CCTV

AmiraClean operates CCTV within its own office.

CCTV may capture images of employees, applicants, contractors, visitors and other individuals entering or using monitored areas.

We use our office CCTV for legitimate security purposes, including:

  • protecting staff and visitors;
  • protecting premises and business assets;
  • preventing and detecting crime;
  • investigating security incidents; and
  • supporting appropriate investigations where necessary.

Access to CCTV footage is restricted to authorised persons.

There is also CCTV within the wider building in which our office is located. Where that CCTV is independently operated and controlled by the building owner or management rather than AmiraClean, the relevant building operator is responsible for its own processing.

Website and technical information

When you use our website, we may process information such as:

  • operating system;
  • pages viewed;
  • interactions with the website;
  • referring website;
  • approximate location derived from technical information;

4. Special category and other sensitive information

We do not routinely seek special category personal data from customers through our general website or quotation process.

However, customers or other individuals may occasionally provide information concerning health, disability or other sensitive circumstances where it is genuinely relevant to accessing a property or safely providing a service.

Where we process special category personal data, we will do so only where an appropriate lawful basis under Article 6 UK GDPR and an applicable condition for processing special category data are available.

We ask you not to provide sensitive information unless it is relevant and necessary.

Information relating to criminal convictions or offences, including information arising through appropriate DBS processes, will only be processed where permitted by law and where appropriate safeguards are in place.

8. WhatsApp

Customers and prospective customers may communicate with AmiraClean through WhatsApp.

Where you contact us through WhatsApp, we may process:

  • messages;
  • photographs or documents you choose to send;
  • cleaning requirements;
  • property or service information; and
  • conversation history.

We use this information to respond to enquiries, prepare or discuss quotations, arrange services, communicate about jobs and provide customer support.

WhatsApp and its associated service providers may independently process information in accordance with their own privacy arrangements.

Contacting AmiraClean through WhatsApp does not by itself mean that you have agreed to receive unrelated promotional marketing.


9. Our service providers and sharing of personal data

We do not sell your personal data.

We may share personal data where reasonably necessary with trusted organisations that help us operate our business or provide services.

  • cleaning management, quotations, scheduling, job management and invoicing, including CleanFlo;
  • accounting and bookkeeping, including FreeAgent;
  • business banking, including NatWest;
  • business telephone services and call recording, including CircleLoop;
  • recruitment and appropriate vetting services, including UCheck;
  • website analytics and advertising, including services provided by Google, Meta, Microsoft and TikTok;
  • IT and cybersecurity;
  • professional advice;
  • insurance;
  • legal services; and
  • other business administration functions.

We may also share appropriate information with:

  • employees and authorised workers;
  • cleaners assigned to relevant work;
  • subcontractors where applicable;
  • landlords, property managers or managing agents where relevant;
  • accountants, auditors, insurers and legal advisers;
  • regulators;
  • courts;
  • law-enforcement bodies;
  • HM Revenue & Customs; and
  • other competent authorities where required or permitted by law.

We seek to limit disclosure to information reasonably necessary for the relevant purpose.

Where another organisation acts as our processor, we require appropriate contractual and security arrangements as required by applicable data protection law.

Some organisations may instead act as independent controllers for particular processing activities. Where this occurs, their own privacy information may also apply.

Some technology providers used by AmiraClean or their service providers may process personal data outside the United Kingdom.

Because our services may require access to customers’ homes or business premises, we recognise that keys, access codes, alarm procedures and similar information require particular care.

We limit access to this information to authorised persons who reasonably require it to provide or administer the service.

Such information should not be retained for longer than necessary for the relevant service or another lawful purpose.

Where access arrangements change or the customer relationship ends, relevant records will be reviewed and securely deleted, returned or updated as appropriate.


13. How long we keep personal data

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including satisfying legal, accounting, taxation, contractual, regulatory, security and dispute-resolution requirements.

Our standard retention periods include:

  • General enquiries that do not proceed: normally up to 12 months after the last relevant contact.
  • Unaccepted quotations: normally up to 24 months after the last relevant activity.
  • Customer contracts and core customer/service records: normally up to 6 years after the customer relationship ends where continued retention is justified.
  • Accounting, invoice and payment records: normally 6 years from the end of the relevant company financial year, subject to applicable statutory requirements.
  • Routine job photographs: normally up to 12 months after the relevant service, unless required for another legitimate purpose.
  • Photographs relating to damage, complaints, incidents or claims: retained with the relevant matter for as long as reasonably necessary.
  • Routine customer communications: retained according to their purpose and operational relevance. Communications forming part of a contract, complaint or legal record may be retained for the corresponding longer period.
  • Routine telephone recordings: normally up to 90 days.
  • Call recordings relating to complaints, disputes, investigations or legal matters: may be preserved with the relevant case for longer where necessary.
  • AmiraClean-controlled CCTV footage: normally up to 30 days unless footage is required for an incident, investigation, complaint, insurance matter or legal claim.
  • Unsuccessful recruitment applications: normally up to 6 months after the relevant recruitment decision unless a longer period is justified or the applicant has agreed to consideration for future opportunities.
  • Complaints and associated records: may normally be retained for up to 6 years after closure where necessary for legal, contractual or claims purposes.

Different periods may apply where legislation requires longer retention or where information must be preserved because of an investigation, litigation, regulatory matter, complaint or other legal requirement.

At the end of the applicable retention period, personal data will be securely deleted, destroyed or anonymised unless there is a lawful reason to retain it for longer.

AmiraClean maintains or intends to maintain more detailed internal retention arrangements for different categories of records.


14. Recruitment and workforce information

Applicants may apply for opportunities through the AmiraClean website or other approved recruitment channels.

Information collected during recruitment is used only for appropriate recruitment and related purposes unless another lawful purpose applies.

We do not intend to collect unnecessary sensitive information at the initial application stage.

Where an applicant progresses, we may subsequently request information required for purposes such as:

  • identity verification;
  • right-to-work checks;
  • references;
  • payroll and employment administration;
  • appropriate vetting or DBS checks where relevant and lawful; and
  • compliance with employment and other legal obligations.

Successful applicants and members of our workforce may receive a separate Applicant & Workforce Privacy Notice explaining employment-related processing in greater detail.

Where workforce members use systems such as CleanFlo for attendance or job management, information such as clock-in/out events and, where enabled, relevant location information may be processed for legitimate operational purposes including attendance verification, timekeeping, service delivery and resolving discrepancies.

We do not intend such functionality to constitute unrestricted or unnecessary continuous monitoring of workers.


15. Direct marketing

AmiraClean may introduce promotional email communications or other direct marketing.

Where we do so, we will comply with applicable UK data protection law and PECR.

Where consent is required, we will obtain appropriate consent before sending the relevant marketing.

Where another legal route for electronic marketing is available, we will ensure that its applicable conditions are met.

You may object to direct marketing at any time.

Where a person opts out, we may retain limited information on a suppression list so that we can continue to honour the request not to receive marketing.

Submitting an enquiry, requesting a quotation, communicating with us through WhatsApp or becoming a customer does not automatically mean that you have consented to all forms of promotional marketing.


16. Social media and third-party services

AmiraClean may operate business profiles on social-media and other third-party platforms.

If you interact with us through a third-party platform, both AmiraClean and the relevant platform may process information depending upon the nature of the interaction.

Those organisations may process personal data independently under their own privacy terms.

Our website may also contain links to third-party websites.

AmiraClean is not responsible for the privacy practices of independent third-party websites or services, and we encourage users to review their privacy information.


17. Children’s personal data

Our website and general cleaning services are not directed specifically at children.

We do not knowingly seek to collect children’s personal data through our website for marketing purposes.
